Description

Tessera has designed and developed the current software that is intended for companies in the area of domestic and building services engineering, technical facility management and plant engineering.

The system is composed of two main components: a client-side application which runs on Android handsets, and a server side application which is in charge of transmitting and transforming data from the company’s ERP to the mobile device and vice versa. The application is designed to facilitate everyday business processes for technicians, such as receiving orders, material registration, records of working hours etc.

Some of the functionalities supported on the mobile application are the following:

- Order information

The technician can receive all the orders that he is involved in and view general information about the order such as the list of employees that are involved in the order, price information, the date that the order was scheduled to start etc.  Moreover, a list of descriptions is presented to the user that contains order tasks that need to be carried out, internal information or information about a technician.

- Customer information

Customer information are presented to the user that include contact information as well as GPS instruction for the work location.

- Material list

The application enables the management of the equipment/material. The technician is able to define, from a predefined list, the materials that were used to a specific order. The materials are organized into catalogs and recorded by the mobile application.

Additional information that can be recorded is the time of use of the equipment/material per project, the energy consumed by specific equipment, and other useful information. The use of barcodes for the reference to the equipment is supported. In this way, the supervision of the available equipment is possible at any time.

- Hours and cost registration

It is possible to record the position of technicians (work, break, driving) in real time. The technician can define salaries for a specific order which can include records of working hours or extra billing cost such as parking fees, fuel fees, accommodation etc.

Working time is recorded in a detailed manner. ERP has the ability to dynamically change the import of working time. A series of time-related reports can be produced.

- Participant information

The technicians that are involved in a specific order work together so as to complete all the working tasks. When a participant completes his working tasks, he is asked to define the working hours, to briefly describe his actions and to add his signature to indicate that he has completed his work.

- Documents and photographs

The technician can add a picture to a specific order, using the internal photo camera of his android device or his device gallery. Moreover, he can process images (add text or custom shapes) in order to focus on a specific part of the image. If the employee wishes to mark specific damages, it is possible to record the spaces and for each one to use the floor plan to define the points by dragging on the ground plan.

Apart from images the user can also receive or add other types of documents such as pdf, doc, docx, xls and xlsx files in order to receive documents (user manuals, billing invoices etc).

All documents are synchronized so that parts - ERP and other employees - are informed. The worker can associate documents and pictures not only with the work but also with specific parts (with a space or a list of jobs).

- Checklists (Tasks)

Every order contains a list of tasks that need to be performed in order to mark the order as completed.  Furthermore, each task contains a list of actions that need to be done and a list of specific characteristics. The user can enter a specific measurement or write a small message for each action or characteristic. Once all actions and tasks are completed the technician and the client can provide their signatures, stating the fact that the checklists are completed.

- Order report

The technician can quickly generate a report for each order that contain general information about the order, the tasks being completed, the materials ordered and used, working hours and external billings as well as the signatures from the technician and the customer. The report can be printed or sent via email (as attached pdf).

The system can generate reports for every work. The reports include general information about the tasks and lists of completed actions, materials, hours of work and amounts spent. The report is signed by the customer and the technician and can be printed or sent via email (as attached pdf). Signatures are also asked during critical stages of the project (either by the client or the technician) to confirm the implementation of the work. Signatures are often exported to reports.

Hours overview

Using this feature, the technician can quickly generate a report of all the orders he has worked on during a predefined period of time. For each order, the report shows information about the total hours worked and total extra billing occurred. The report can be printed or sent via email (as attached pdf).
